Refund & Return Policy
A transparent and fair refund process, aligned with UGC regulations.
Gyan Institute of Higher Studies follows a clear and student-friendly refund policy aligned with UGC regulations and University guidelines. This policy covers Gyan Institute Service Charges and explains how University Fee refunds work. Our services are facilitation services; Gyan Institute does not sell physical goods, so "return" in this policy refers to the cancellation and return of payments, not products.
1 Refund Eligibility
A refund of Gyan Institute amounts is applicable only when all three of the following conditions are met:
- Cancellation is raised within 7 days of initial payment
- No University form or application has been submitted
- No Gyan Institute service has started
2 Non-Refundable Cases
A refund will not be applicable once any of the following actions has been completed:
- Verification call completed
- Document checking done
- Form filling done or login created
- E-study material set up
- Any task completed on the student's behalf
3 University Fee
The University Fee becomes non-refundable through Gyan Institute once the fee is deposited or an Enrolment Number, Application Number or Admit Card is issued.
All University refunds strictly follow the UGC Fee Refund Regulations and the University's official refund policy. Gyan Institute cannot modify or influence University decisions.
4 Non-Payment of University Fee
If a student is unable to pay the University Fee and requests a refund before admission is processed, Gyan Institute will deduct only its service charge:
| Student Category | Service Charge Deducted |
|---|---|
| Indian Students | ₹5,000 per year |
| NRI / International Students | ₹8,000 per year |
These charges cover counselling, documentation, verification and application preparation. The remaining Gyan Institute amount will be refunded. This applies only when no University Fee has been deposited and no enrolment or application number has been generated.
5 Gyan Institute Support During University Refund
Where a refund is to be claimed from the University, Gyan Institute will:
- Forward the student's cancellation request to the University
- Follow up regularly for updates on the University's end
- Support the student until the University provides its final written response
6 How to Request a Refund or Cancellation
- Send a written request from your registered email (or mobile number) to admin@gyaninstitute.com with your name, registered mobile number, course, payment receipt details and reason for cancellation
- Requests made only by phone are accepted for guidance, but must be confirmed in writing to be valid, and the 7-day period is counted up to the date the request is first raised, as recorded by us
- Include bank account details (account holder name, account number, IFSC) for the refund; the account must be in the student's or payer's name
7 Refund Timeline and Mode
- We will acknowledge your request within 2 working days and confirm eligibility after review
- Approved Gyan Institute refunds will be processed within 7 to 10 working days of approval to the original mode of payment or the bank account provided
- University refunds are paid by the University directly, in line with its own timelines, which are outside Gyan Institute's control
- Bank or payment-gateway charges, if any, may be deducted as per actuals where applicable
8 Return of Documents
On cancellation, originals or copies of documents held by Gyan Institute will be returned or securely deleted on request, subject to clearance of any pending dues as per our Terms & Conditions.
9 Other Conditions
- Refunds are not available for amounts already paid directly to the University, for services already availed, or where the student has withdrawn after admission is processed
- Refund requests arising from false information, forged documents or ineligibility for the chosen course are not covered
- Taxes already paid or charged are refunded only to the extent permitted by law
- Where a refund is rejected, we will share the reason in writing and the student may escalate under the Grievance process in our Terms & Conditions
